HealthBridge Children’s Hospital is looking for an Administrative Assistant/Outpatient Scheduler to join our team!

As the Administrative Assistant we are looking for someone to answer phones, welcome families and vendors, and provide administrative support, including data entry and clerical work, to the CEO of the hospital.

As the Outpatient Scheduler we are looking for someone to:

  • Schedule patients and respond to patient/therapist requests.
  • Maintain patient schedules and obtain pertinent information, while verifying accuracy, recording in appropriate scheduling screens, confirming appointments and following authorization procedures.
  • Follow up on cancellations and no-shows.
  • Provide quality customer service. Provides professional customer service in challenging situations.
  • Maintain and organize information systematically for easy retrieval.
  • Perform other job-related duties as assigned.

This position requires tact, sensitivity, and professionalism due to the constant interaction with patients, families, and business partners to guarantee their satisfaction. The Administrative Assistant/Outpatient Scheduler is someone who is smiling at all times while courteously greeting visitors and directing visitors appropriately. Other responsibilities include efficiently processing incoming and outgoing calls, filing, and copying documents as needed, typing correspondence, managing office supplies, and assisting the Chief Executive Officer with other administrative functions as needed. 

Educational Requirements:

· High School Diploma or GED.

· College Degree preferred.

Position Requirements:

· Bilingual in English & Spanish required.

· Proficient PC skills including Microsoft Office.

· Working knowledge of copier, fax machine, and printers.

· Ability to operate a multi-line phone system.

· Excellent communication skills.

· Demonstrated ability to interact with a range of people in an open, friendly, customer-oriented manner.

· Ability to work independently and multi-task within a fast-paced environment.
