The Position

This position is responsible for the successful ongoing support of site operations for the Novo Nordisk Seattle Office and is accountable for helping to maintain a lean operational setup to support a well-functioning 30+ person site. This position will ensure that an independent streamlined infra-structure is sustained to continuously safeguard the operational activities relating to critical site operational tasks (sometimes confidential in nature) for on-site team members. This role will be primary point lead for operational finance and purchasing activities, coordinate all shipping & receiving, site lead for OHS and maintenance of facilities that will allow site activities to progress and succeed. This role will be responsible for managing all external vendors and visitors to the site.

 

Relationships

Reports to US R&ED Head of Facilities. Interfaces with all departments at Novo Nordisk Site Seattle and with other US R&ED Sites. External relationships include contact with various vendors. Sources, directs and manages on site outsourced service providers. Partners and interacts with all levels of people and departments, with a focus on strategic business partnering, on an on-going basis to ensure business needs are balanced and projects are completed from both the department and Facilities sides. Maintains a strong relationship with Lines of Business. Establishes key vendor relationships and manages essential contracts to support continuous building operation and function. Manages the relationship with other affiliates to effectively oversee project completion.

Essential Functions

  • Leads the day-to-day Facility operation of the NN Seattle Site
  • Direct and communicate company policy and procedures related to Facilities, business continuity, and emergency response
  • Directs operational activities, develops and organizes procedures, and uses considerable written and verbal communication skills to represent the NN Seattle Site
  • Direct the management of office services including printing services for forms & business cards, office supplies, cafe services & supplies, audio visual equipment operation & service, and US Postal & parcel services
  • Vendor review, price/service analysis & negotiations, inventory management of supplies and printed materials as well as providing information, instructions and assistance to all employees
  • Assist Line of Business with Contract drafting, including coordination with Legal and Data Privacy teams if required
  • May coordinate office equipment service appointments and routine services, including troubleshooting and follow-up if needed
  • Serves as point person for all interactions with the building management
  • Serves as environmental health lead within NN Seattle Site. Manage Denmark Based initiatives pertaining to the building and sustainability
  • Prepare extensive review and analysis of current vendors to save costs and improve services
  • Collaborates closely with other managers, business leaders, and global colleagues
  • Performs duties that are both task and project oriented requiring complex interpretation and significant judgment
  • Collaborates with the business and IT to provide input into technology solution issues for facilities related initiatives

 

Physical Requirements

0-10% overnight travel required.

 

Qualifications

  • A minimum of 8 years of facilities, logistics, office management or other professional experience.
  • College degree or technical field degree/certificate preferred.
  • Demonstrates strong leadership abilities
  • Ability to work independently and exercise a high level of discretion
  • Ability to understand implications of work and make recommendations for solutions            
  • Ability to exercise independent discretion and/or judgment    
  • Requires demonstrated computer skills and use of Microsoft Office  
  • Requires extensive knowledge of the job and department served and complete knowledge of operations within a company           
  • Requires an understanding of the Company’s goals and the strategy to attain them             
  • Ability to manage multiple priorities    
  • Ability to interact with all levels inside and outside of the organization along with HQ and global affiliates          
  • Excellent customer service skills           
  • Ability to handle sensitive and confidential information

The base compensation range for this position is $80,670 to $141,170. Base compensation is determined based on a number of factors.  In addition, this position is part of the Annual Performance Incentive Plan. Novo Nordisk is an equal opportunity employer.
