Position Summary

Responsible for managing the daily operations and administrative functions of the Master of Physician Assistant Studies (MSPAS) program. Reports directly to the Department Chair and provides administrative, operational, and coordination support to the Department Chair, Medical Director, principal faculty, adjunct faculty, and students. Will support registration, student and faculty records, facilities management, and all MSPAS programs. Supports program accreditation, admissions, budget management, program assessment, departmental communications, and special events while helping ensure effective implementation, evaluation, and continuous improvement of program activities and operations.

Principal Duties & Responsibilities

  • Manage and coordinate daily operations of the PA Program office.
  • Oversees vendor relationships and contract coordination.
  • Assist and support the Dept. Chair/Program Director of Physician Associate Studies in on-going program updates, implementation, and assessment of the program.
  • Operations manager to address building and facility needs including HVAC, maintenance and facility services.
  • Actively participate in and support all aspects of the ARC-PA Accreditation Process. Assist in preparing reports for the ARC-PA: application, subsequent provisional accreditation reports, and annual portal updates/reports.
  • Participate in and support Physician Associate Studies Admissions; liaison between SHU Graduate Admissions Dept. and PA Program.
  • Liaison to Exaat for incoming students.
  • Assist Dept. Chair/Program Director with management of PA Program budget.
  • Prepare correspondence, agendas, invitations, flyers, spreadsheets, charts, and memoranda.
  • Meeting minutes for monthly department meetings.
  • Liaison to SHU Registrar's office to update principal and adjunct faculty semester course assignments and credit load.
  • Prepare reimbursement requests of Dept. Chair/Program Director, Principal Faculty, and Medical Director.
  • Prepare for meetings, reports, and minutes for trimester MSPAS self-assessment and MSPAS curriculum review meetings, and annual MSPAS retreat.
  • Assist with new faculty hiring process: Coordinate interviews, new hire documents.
  • Liaison to Dept. Chair/Program Director direct reports and all adjunct instructional faculty members: Maintain/update personnel files, process annual dues and licensing reimbursement requests, room reservations and general administrative assistance.
  • Provide verification of academic appointments for faculty and adjuncts. Maintain CVs for all principal and adjunct faculty.
  • Coordinate on and off-campus events that are the responsibility of the PA Program: reserving facilities, meeting rooms, catering, invitations, and multi-media.
  • Coordinating annual student awards programs (White Coat Ceremony, Graduation).
  • Organization and assistance in planning and implementation of New Student Orientation Week.
  • Coordinate with and register faculty for PA conferences (PAEA, AAPA, CAPA), and manage all travel and hotel reservations.
  • Develops and maintains student and alumni database and serves as a liaison to all university programs and offices.
  • Assist in developing and performing annual revisions: MSPAS Program Policy & Procedure Guide.
  • Liaison to facilities operations and Stamford Hospital.
  • Other duties as assigned.


Knowledge, Skills, Abilities & Other Attributes

  • Bachelor's degree required
  • Administrative experience with purchasing, reconciling budgets, and expense reports and tracking
  • Superior communication skills in person, on the phone, by email and voicemail
  • Demonstrated ability to work with others in a collegial and professional manner
  • Solid organization and management skills
  • Highest degree of integrity, professionalism, diplomacy and discretion
  • Ability to handle multiple tasks efficiently and effectively and meet tight deadlines
  • Ability to handle confidential information in a professional manner
  • Must be a self-starter and manage a busy office and program, with excellent anticipatory and prioritization skills
  • Good knowledge of business, corporate, and academic culture
  • Most competitive applicants will have familiarity with admissions software, student databases, budget software, and Microsoft Office Suite.


Preferred Qualifications

  • Experience with PA Program operations.
  • Experience in academia.


Unusual Working Conditions

  • This position is located in Stamford, CT.
  • Occasional flexible working hours to accommodate PA department needs (Monday through Friday, with occasional weekend work with advance notice.) Office and classroom environment.
